Date: Wednesday, October 21, 2009 Category: Region: (Abu Dhabi) Description: Job description Responsible for: •Screening telephone calls, enquiries and requests, •Meeting and greeting visitors at all levels of seniority; •Organising and maintaining diaries and making appointments; •Dealing with incoming email, faxes and post, often corresponding on behalf of the manager; •Taking dictation and minutes; •Producing documents, briefing papers, reports and presentations; •Organising and attending meetings and ensuring their manager is well-prepared for meetings; •Liaising with clients, suppliers and other staff; •Deputising for the manager, making decisions and delegating work to others in the manager's absence; •Devising and maintaining office systems, including data management, filing, etc.; •Arranging travel and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations. •Conduct interviews, hire new staff, and provide employee orientation. Job Requirements • Excellent communication skills (both written and verbal) in English. Fluent in Arabic is an advantage •Strong computer skills in PC, including Word, Outlook, Excel, PowerPoint, Visio, Internet and e-mail • Bachelor's degree from 4 year college or university • Poised and polished with a professional mindset •Superior judgment with confidential materials •Must know how to prioritize executive tasks •Ability to multi-task and switch gears quickly •Detail oriented and extremely organized •Must have flexible availability
