• Aconex Tasks (uploading new documents to Aconex, preparation of Review workflow, Proper numbering, bulk processing, supersede documents, follow up tasks, mailing, distribution of documents to different departments) online project documents collaboration.
• Responsible for handling all the technical documents Collecting inputs from clients.
• Listing out the Documents and documenting the project details.
• Explaining the Project Plan to internal execution team Submission of documents
and creating Transmittal through ACONEX.
• Tracking the pending documents through weekly progress reports.
• Notifying the involved party for taking appropriate action on the pending documents.
• Manual follow up with the client's internal team to get an expected schedule for all
pending documents.
• Export of As-Built files in the customer required format.
• Sign-off from the customers with clear specifications of retention of Archives.
• Describing and creating the Acknowledge letters for the clients.
• Special administrative and project management skills to help the project reach the
milestone.
• Communication with PM and planning engineer to follow the tasks and perform the
activities regarding documentations.
• Making sure for showing of record of all the Documents as a Hard and Soft copy
during internal Audit.
• Making logs in MS-excel according to the requirements of inspections and making
transmittals cover pages format according to company and consultant
requirements.
• Perform all official activities like scanning, printing, typing, working online on the
internet, sending & receiving emails using outlook
• Upload and update registrations, submissions of drawings, Prequalification Documents, Material Submittals, Daily and weekly reports to Aconex.
• Registration and distribution of drawings/documents issued by Consultants.
• Registration of Architect’s instructions/directions.
• Submissions of shop drawings, documents, and samples to consultants.
• Distribution of commented shop drawings/documents/samples to related
subcontractors.
• Updating a Master Log sheet on daily basis/
• Update status of all documentation in share folder.
• Filing of approved samples with photos and proper description for easy reference to
Project team members.
• Copy, scan and store documents
• Check for accuracy and edit files, like contracts
• Review and update technical documents (e.g. manuals and workflows)
• Distribute project-related copies to internal teams
• File documents in physical and digital records
• Create templates for future use
• Retrieve files as requested by employees and clients
• Manage the flow of documentation within the organization
• Maintain confidentiality around sensitive information and terms of agreement.
