Job Role:
- Run tenders, evaluate bids, and prepare recommendations based on technical and commercial criteria.
- Create, proofread, and submit complete bid responses within deadlines.
- Prepare pre‑ and post‑bid presentations and coordinate inputs from cross‑functional teams (Sales, Marketing, Finance, Legal).
- Ensure all bids are complete, compliant, audited, and approved.
- Collect and analyze data on materials, labor, equipment, transport, and subcontractors to support accurate cost calculations.
- Implement digital tools and computer support systems to improve project timelines and estimation accuracy.
- Negotiate and finalize contracts, ensuring quality service and adherence to project requirements.
- Maintain organized contract files for future reference and audits.
- Build and sustain strong relationships with new and existing suppliers.
- Liaise with suppliers, manufacturers, and internal teams such as planning, estimation, material control, and stores.
- Conduct market research to source the best products and suppliers in terms of value, delivery, and quality.
- Develop procurement strategies to achieve cost savings and supplier performance targets.
- Forecast price trends and assess their impact on future procurement activities.
- Prepare budgets, cost analyses, and spending/saving reports.
- Ensure suppliers understand project and business objectives.
- Attend supplier meetings, trade shows, and industry conferences.
- Verify incoming materials, review delivery notes, and ensure correct quantities are received.
- Monitor off‑loading activities to confirm accuracy against material requests.
- Prepare handover checklists and coordinate with the material controller.
- Conduct weekly stock inspections and reconcile ERP book stock with physical stock.
- Coordinate with department heads to resolve discrepancies.
- Maintain all documentation and files related to materials and procurement activities.
