Job Summary
The Bid Administrator supports the preparation, coordination, and submission of bids, tenders, and proposals. This role ensures that all bid documentation is accurate, compliant with client requirements, and submitted within deadlines. The Bid Administrator works closely with business development, technical teams, and management to gather information and organize bid responses.
Key Responsibilities
Manage and maintain bid documentation, tender notices, and submission schedules.
Review tender requirements and ensure all documents comply with client specifications.
Coordinate with internal departments to collect required information for bid submissions.
Prepare and format bid documents, proposals, and supporting materials.
Track bid deadlines and ensure timely submission of proposals.
Maintain a database of submitted bids, results, and related documentation.
Assist in preparing pre-qualification documents (PQQs) and expressions of interest (EOIs).
Ensure all required forms, certificates, and attachments are included in submissions.
Support the bid team during tender clarification and post-submission processes.
Archive completed bids and maintain organized records for future reference.
Required Qualifications
Bachelor’s degree in Business Administration, Management, or a related field (preferred).
Proven experience in bid administration, tender coordination, or administrative support.
Strong organizational and document management skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Excellent written and verbal communication skills.
Ability to manage multiple deadlines and work under pressure.
Preferred Skills
Knowledge of procurement and tendering procedures.
Experience with proposal management systems or tender portals.
Attention to detail and strong proofreading skills.
Ability to work collaboratively with cross-functional teams.
Working Conditions
Office-based role with occasional tight deadlines during tender submissions.
Requires strong time management and coordination with multiple stakeholders.
