Job purpose: provides high-level administrative and organizational support to senior executives. This role requires discretion, strong coordination skills, and familiarity with healthcare operations, ensuring smooth communication and efficient executive office management.

*Key Responsibilities:
- Manage and maintain executives’ schedules, appointments, and meetings.
- Coordinate internal and external meetings, including medical staff and stakeholders.
- Prepare reports, presentations, and official correspondence.
- Handle confidential documents, including patient-related or regulatory information, with discretion.
- Act as a liaison between executives, medical staff, and external partners.
- Organize travel arrangements, itineraries, and accommodation.
- Maintain filing systems (electronic and physical) in compliance with healthcare regulations.
- Assist in preparing meeting agendas, minutes, and follow-ups.
- Support hospital accreditation processes and documentation (e.g., CBAHI, JCI).
- Screen calls, emails, and requests, prioritizing as needed.
- Ensure compliance with internal policies and healthcare standards.
*Qualifications & Requirements:
- Bachelor’s degree in Business Administration, Healthcare Administration, or related field.
- Proven experience as an Executive Secretary or Executive Assistant, preferably in healthcare.
- Knowledge of healthcare systems, terminology, and regulations is an advantage.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- High level of confidentiality and professionalism.
- Ability to multitask and work under pressure.
