Duties and Responsibilities
Receive and Process Reservations
Accept booking requests through phone calls, emails, websites, or walk-in customers.
Enter reservation details accurately into the reservation system.
Confirm and Update Bookings
Send booking confirmations to customers.
Modify, reschedule, or cancel reservations as requested.
Provide Customer Assistance
Answer customer inquiries about availability, rates, services, and policies.
Assist customers with special requests and requirements.
Maintain Reservation Records
Keep reservation information accurate and up to date.
Ensure customer data is recorded correctly.
Monitor Availability
Check room, seat, or service availability.
Prevent overbooking and maximize occupancy or utilization.
Coordinate with Other Departments
Communicate reservation details to relevant departments such as front office, housekeeping, sales, or operations.
Ensure special guest requests are properly arranged.
Process Payments and Deposits
Collect and record deposits or advance payments when required.
Verify payment details and issue confirmations.
Handle Customer Complaints
Resolve reservation-related issues professionally and efficiently.
Escalate complex problems when necessary.
Promote Services
Inform customers about special offers, packages, and upgrades.
Encourage additional bookings and services.
Prepare Reports
Generate reservation and occupancy reports.
