## Position Summary
The Office Administrator is responsible for managing the day-to-day administrative operations of the office, ensuring efficient business support, maintaining company records, coordinating with employees, vendors, clients, and government authorities, and ensuring compliance with company policies and Saudi Arabian regulations.
## Key Responsibilities
### Office Administration
* Manage daily office operations and administrative activities.
* Maintain office supplies, equipment, and inventory.
* Coordinate office maintenance, facilities, and service providers.
* Handle incoming and outgoing correspondence, courier services, and telephone calls.
* Organize meetings, appointments, and calendars.
### Administrative Support
* Prepare letters, reports, presentations, and official documents.
* Maintain physical and electronic filing systems.
* Support management with administrative and operational tasks.
* Handle confidential documents and information.
### HR Support
* Assist with employee onboarding and offboarding.
* Maintain employee records and documentation.
* Coordinate leave, attendance, and HR-related administrative tasks.
* Support medical insurance and employee documentation.
### Finance Support
* Assist with invoice processing and expense records.
* Coordinate administrative payments and petty cash where applicable.
* Maintain supporting financial documentation.
### Travel & Logistics
* Arrange travel, accommodation, transportation, and visa support.
* Coordinate logistics for visitors and company meetings.
### Asset Management
* Maintain office asset registers.
* Monitor company equipment and inventory.
* Coordinate repairs and replacements.
### General Duties
* Liaise with internal departments and external stakeholders.
* Support company events and meetings.
* Recommend improvements to administrative processes.
* Perform any other duties assigned by management.
## Qualifications
* Bachelor's degree or Diploma in Business Administration or a related field.
* 3–5 years of experience in office administration or operations.
* Experience in Saudi Arabia is preferred.
## Skills
* Excellent communication and organizational skills.
* Strong knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint).
* Ability to multitask and prioritize work.
* Strong attention to detail and confidentiality.
* Problem-solving and time management skills.
* Experience with ERP/HR systems and Saudi government portals is an advantage.
