Job Summary
We are looking for a responsible and organized Garage & Store Officer to manage the daily operations of the garage workshop and spare parts store. The successful candidate will be responsible for vehicle records, workshop administration, inventory control, store operations, and coordinating between the garage, purchasing, and fleet teams to ensure smooth and efficient operations.
Key Responsibilities
Garage Administration
• Create a job number for every vehicle entering the garage and record all relevant details in the ODOO system.
• Check and record vehicle information, spare parts, tools, serial numbers, and brands accurately in ODOO.
• Maintain complete and accurate service and repair records for all vehicles.
• Track all installed parts and identify which vehicle each item is assigned to.
• Coordinate with the purchasing department regarding spare parts and workshop material requirements.
• Arrange and monitor the movement and passing of vehicles and flatbeds.
Store & Inventory Management
• Receive, inspect, and verify all spare parts, tools, and materials against purchase orders.
• Record all incoming and outgoing inventory transactions accurately in the ODOO system.
• Store and organize spare parts and tools in a clean, safe, and easily accessible manner.
• Issue spare parts and materials to mechanics and technicians based on approved job cards or requests.
• Monitor stock levels and ensure timely replenishment of inventory.
• Conduct regular stock counts and inventory audits to maintain inventory accuracy.
• Ensure proper storage and handling of oils, batteries, chemicals, and other hazardous materials in compliance with safety standards.
• Maintain the cleanliness and organization of the store at all times.
• Prepare daily, weekly, and monthly inventory reports for management.
• Support cost control by minimizing waste, loss, and misuse of spare parts and materials.
Fleet Coordination
• Review the daily vehicle passing list.
• Follow up with drivers to ensure the vehicle passing process is completed on time.
• Coordinate with workshop supervisors and fleet personnel to ensure vehicles are available as scheduled.
Qualifications & Requirements
• Diploma or Bachelor's degree in Business Administration, Logistics, Automotive, or a related field.
• Minimum 2 years of experience in garage, workshop, fleet, or store operations.
• Experience using ODOO ERP or a similar inventory management system.
• Good knowledge of spare parts and workshop operations.
• Strong organizational and record-keeping skills.
• Good communication and coordination skills.
• Proficient in Microsoft Office (Excel, Word, Outlook).
• Ability to work under pressure and manage multiple tasks efficiently.
