The HR Coordinator is responsible for providing comprehensive administrative and operational support to the Human Resources Department. The role ensures efficient execution of HR processes including recruitment, onboarding, employee relations, attendance management, payroll support, personnel administration, government compliance, and HR documentation. The HR Coordinator ensures compliance with Saudi Labor Law and company policies while supporting the operational needs of restaurant branches and the Head Office.
Recruitment & Onboarding
1. Coordinate recruitment activities including job postings, candidate screening, interview scheduling, and reference checks.
2. Coordinate with recruitment agencies and internal departments to fulfil manpower requirements.
3. Prepare employment offers and employment contracts. Documentation, Records.
4. Coordinate onboarding activities for new employees.
Employee Records & Administration
5. Maintain accurate and confidential employee personnel files.
8. Update employee records in HRIS and other company systems.
9. Process employee confirmations, promotions, transfers, salary adjustments, and status changes.
10. Prepare HR letters including salary certificates, employment certificates, experience letters, and NOCs.
Government Relations Support
13. Coordinate HR documentation required for government platforms including Qiwa, GOSI, Muqeem, Mudad, and other relevant portals.
14. Monitor employee residency (Iqama), work permits, passport, and health certificate expiry dates.
15. Coordinate with Government Relations (PRO) regarding visa processing, renewals, transfers, and government requirements.
16. Ensure compliance with Saudization requirements and applicable labor regulations.
Attendance & Leave Administration
17. Monitor employee attendance, timekeeping, overtime, and shift records.
18. Verify attendance reports and coordinate with restaurant managers regarding discrepancies.
19. Process leave applications including annual leave, sick leave, emergency leave, and unpaid leave.
20. Maintain leave balances and attendance records.
Payroll Support
21. Prepare payroll inputs including attendance, overtime, deductions, allowances, incentives, and final settlements.
22. Coordinate with Finance to ensure timely and accurate payroll processing.
23. Verify payroll data before submission.
24. Assist in final settlement calculations for resigned and terminated employees.
Employee Relations
25. Serve as the first point of contact for HR-related employee inquiries.
26. Support employee engagement and welfare initiatives.
27. Coordinate disciplinary actions in accordance with company policies and Saudi Labor Law.
28. Assist in grievance handling and conflict resolution.
29. Maintain confidentiality of all employee information.
Performance & Training
30. Coordinate probation evaluations and annual performance appraisal processes.
31. Maintain training records and coordinate employee training schedules.
32. Support career development initiatives and succession planning.
Compliance
33. Ensure HR practices comply with Saudi Labor Law and company policies.
34. Support internal and external HR audits.
35. Maintain HR policies, procedures, and employee handbook updates.
