Job Purpose

The Maintenance Clerk / Coordinator is responsible for coordinating and supporting day-to-day maintenance activities by maintaining accurate records, scheduling preventive and corrective maintenance, preparing reports, and ensuring effective communication between the maintenance team, management, and other departments. The role ensures efficient planning, documentation, and monitoring of maintenance operations to support uninterrupted facility performance.

Key Responsibilities
Coordinate daily maintenance activities and allocate work orders to maintenance personnel.
Prepare, update, and maintain preventive and corrective maintenance schedules.
Monitor the status of maintenance requests and ensure timely completion.
Maintain accurate records of work orders, equipment history, spare parts, and maintenance documentation.
Generate daily, weekly, and monthly maintenance reports and performance summaries.
Assist in planning maintenance shutdowns and scheduling contractor activities.
Coordinate with procurement for spare parts, tools, and maintenance materials.
Update maintenance management systems (CMMS) and ensure data accuracy.
Maintain inventory records for maintenance consumables and equipment.
Communicate with supervisors, technicians, contractors, and other departments regarding maintenance activities.
Ensure compliance with company policies, safety procedures, and quality standards.
Perform general administrative duties related to maintenance operations.
Qualifications
High School Diploma or equivalent (Diploma in Mechanical, Electrical, Facilities Management, Business Administration, or related field is preferred).
Computer training or certification in MS Office and maintenance management software (CMMS) is an advantage.
Experience
Minimum 8 years of practical experience in maintenance coordination, maintenance administration, or facilities management within projects of a similar nature.
Experience in public works, facility management, industrial plants, hospitals, or large commercial facilities is preferred.
Technical Skills
Proficient in Microsoft Office (Excel, Word, Outlook).
Experience using Computerized Maintenance Management Systems (CMMS).
Strong knowledge of preventive and corrective maintenance processes.
Ability to prepare reports, schedules, and maintenance documentation.
Good understanding of maintenance planning and work order management.
Familiarity with inventory and spare parts control.
