Key Responsibilities
Store Management & Inventory Control
ï?? Receive all incoming materials, supplies, spare parts, and equipment from suppliers and verify quantities, specifications, and quality against
purchase orders, delivery notes, and invoices.
ï?? Inspect materials for damages, shortages, or discrepancies and immediately report any issues to the supervisor or procurement department.
ï?? Ensure all received items are properly labeled, tagged, coded, and entered into inventory management systems such as ERP, CAFM, or
computerized stock control systems.
ï?? Arrange materials systematically in designated storage locations according to category, size, usage, and safety requirements.
ï?? Maintain proper stock rotation using FIFO (First In, First Out) and FEFO (First Expired, First Out) methods where applicable.
ï?? Issue materials, spare parts, tools, and consumables to authorized personnel against approved Material Requisition Forms (MRF) or issue
documents.
ï?? Maintain accurate records of all stock transactions, including receiving, issuing, returns, transfers, adjustments, and disposals.
ï?? Monitor minimum and maximum stock levels and inform management about slow-moving, fast-moving, or critical items requiring
replenishment.
ï?? Conduct daily, weekly, monthly, and annual physical stock counts and reconcile differences between physical stock and system records.
ï?? Prepare inventory reports, stock valuation reports, consumption reports, and other required documentation for management review.
ï?? Ensure proper handling and storage of sensitive, expensive, hazardous, or perishable materials according to company procedures.
ï?? Coordinate with purchasing, engineering, maintenance, housekeeping, food & beverage, and other departments to ensure the timely availability
of materials.
ï?? Maintain proper housekeeping standards in the store area, including cleanliness, organization, and safety.
ï?? Ensure all storage areas comply with health, safety, and environmental standards.
ï?? Control access to the store and ensure that materials are issued only to authorized employees.
ï?? Maintain proper filing of all documents, including purchase orders, delivery notes, invoices, receiving reports, issue vouchers, and stock records.
ï?? Assist auditors during internal and external audits by providing the required inventory documents and reports.
ï?? Identify opportunities to improve warehouse operations, reduce wastage, and increase inventory accuracy.

Receiving & Documentation Responsibilities
ï?? Receive deliveries from suppliers and check items against purchase orders and approved specifications.
ï?? Prepare Goods Receiving Notes (GRN), receiving reports, and other related documentation.
ï?? Update records of all incoming and outgoing materials in manual registers and computerized systems.
ï?? Coordinate with suppliers regarding damaged, incorrect, or missing materials.
ï?? Maintain proper records of supplier deliveries and pending items.
ï?? Ensure all documents are accurately completed and submitted to the relevant departments on time.

Driving & Transportation Responsibilities
ï?? Operate company vehicles safely and responsibly for the transportation of goods, materials, equipment, and staff.
ï?? Deliver materials to different departments, facilities, projects, or customer locations as assigned.
ï?? Collect materials, spare parts, and supplies from suppliers or external locations.
ï?? Plan delivery routes efficiently to ensure timely transportation and reduce fuel consumption.
