Job Description
We are looking for a detail-oriented and organized Material Submittal & Technical Documentation Coordinator to join our team. The candidate will be responsible for preparing, compiling, submitting, tracking, and maintaining material submittals and technical documentation for construction and fit-out projects.
Key Responsibilities
Prepare and compile Material Submittals according to project specifications and consultant requirements.
Collect and organize manufacturer datasheets, technical catalogues, test reports, certificates, warranties, MSDS/SDS, and other technical documents.
Prepare material compliance sheets against project specifications.
Coordinate with suppliers and manufacturers to obtain missing technical documents.
Review submitted documents for completeness, accuracy, and consistency before submission.
Prepare and submit material submittals to consultants/clients through the required system or email.
Maintain and regularly update the Material Submittal Register.
Track material submittal status, including Submitted, Approved, Approved with Comments, Rejected, and Resubmission.
Coordinate consultant comments and prepare revised/resubmitted documents.
Maintain proper document numbering, revision control, and filing systems.
Coordinate with Procurement, QA/QC, Project, and suppliers regarding material approvals.
Maintain records of approved materials and ensure the latest approved documents are available to the project team.
Prepare and maintain technical documentation, certificates, samples, warranties, and related records.
Requirements
Diploma or Bachelor’s degree in Civil Engineering, Architectural Engineering, Construction, or a related field.
2–4 years of relevant experience in construction, fit-out, interior works, or a similar industry.
Previous experience in Material Submittals and Technical Documentation is preferred.
Good understanding of construction materials and project specifications.
Ability to read and understand technical datasheets and specifications.
Strong MS Office skills, especially Excel and Word.
Knowledge of document control systems such as Aconex, Procore, Autodesk Construction Cloud, SharePoint, or similar platforms is an advantage.
Good English communication and writing skills.
Strong attention to detail and document organization.
Ability to coordinate effectively with suppliers, consultants, and internal departments.
