Purchasing Officer – Construction

Job Summary

We are looking for an organized and detail-oriented Purchasing Officer – Construction to manage day-to-day purchasing and procurement activities for construction projects. The successful candidate will coordinate with suppliers, subcontractors, site teams, and accounts to ensure materials, tools, equipment, and consumables are sourced at competitive prices and delivered to site on time.

The ideal candidate should have practical knowledge of construction procurement, supplier coordination, purchase orders, delivery tracking, invoice reconciliation, and site material requirements.

Key Responsibilities
Manage the end-to-end purchasing cycle, from receiving purchase requisitions to obtaining quotations, issuing purchase orders, and tracking deliveries.
Source construction materials, tools, equipment, consumables, and other project requirements according to approved specifications.
Identify, evaluate, and maintain an updated database of approved suppliers, subcontractors, and vendors.
Request and obtain supplier quotations and prepare detailed price comparison sheets.
Compare prices, specifications, lead times, payment terms, delivery conditions, and discounts.
Negotiate commercial terms with suppliers to achieve competitive pricing and favorable purchasing conditions.
Prepare, verify, and process Purchase Orders (POs) in accordance with company procedures.
Coordinate with suppliers and site stores to ensure materials are delivered according to required specifications and project schedules.
Track local deliveries, transportation, shipping arrangements, and supplier lead times to minimize potential site delays.
Follow up on outstanding and delayed purchase orders and provide regular updates to project and procurement teams.
Verify delivery notes, invoices, material receipt reports, and supporting procurement documents.
Coordinate with the accounts department to reconcile supplier invoices against purchase orders and delivery documentation.
Maintain accurate procurement logs, purchase registers, vendor records, and delivery tracking reports.
Monitor site inventory requirements, minimum stock levels, and material availability.
Coordinate material returns, replacements, and claims for damaged, incorrect, or non-conforming materials.
Maintain records of supplier performance, pricing, lead times, and turnaround times.
Coordinate with site engineers, supervisors, storekeepers, and project teams to understand upcoming material requirements.
Verify site deliveries against approved Purchase Orders, digital Goods Receipt Notes (GRNs), material inspection records, and stock records.
Assist in stock reconciliation and ensure procurement records are aligned with actual site material receipts.
Required Qualifications & Skills
Proven experience in purchasing/procurement within the construction industry.
Solid understanding of the complete procurement cycle from purchase requisition through delivery and invoice reconciliation.
Good knowledge of construction materials, tools, equipment, and consumables.
Strong supplier sourcing, quotation comparison, negotiation, and vendor coordination skills.
Ability to maintain an organized database of approved suppliers and subcontractors.
Strong knowledge of Purchase Orders, delivery notes, invoices, GRNs, material receipt reports, and procurement documentation.
Understanding of site inventory control, minimum stock levels, material returns, and replacement procedures.
Strong administrative and documentation skills.
Proficiency in preparing vendor price comparison sheets, purchase registers, open-order reports, and delivery logs.
Good working knowledge of MS Excel, including formulas and basic tracking tables for monitoring orders, budgets, supplier turnaround times, and deliveries.
Familiarity with digital GRNs, material inspection logs, and stock reconciliation systems.
Strong attention to detail and ability to maintain accurate procurement records.
Good communication and negotiation skills.
Ability to coordinate effectively with suppliers, site teams, stores, accounts, and project management.
Preferred Candidate
Locally available in Bahrain.
Immediate joiner preferred.
Candidates with previous experience in construction purchasing/procurement will be highly considered.
Familiarity with local Bahrain suppliers and construction material markets is an advantage.
Ability to work under pressure and manage multiple purchase requirements simultaneously.
