Role Description

This role is responsible for overseeing the procurement of food, beverages, equipment, and supplies for all restaurant locations, ensuring items are sourced at the best possible quality, price, and delivery terms. Day-to-day tasks include identifying and evaluating suppliers, negotiating contracts, placing and tracking purchase orders, and monitoring inventory levels to avoid stockouts or waste. The Purchasing Manager collaborates closely with operations, kitchen leadership, and finance teams to forecast demand, manage budgets, and uphold quality and safety standards. The role also involves maintaining accurate purchasing records, reviewing invoices, and continuously optimizing purchasing processes to support efficient restaurant operations.



Key Responsibilities

Manage purchasing for all 3 outlets, covering food, beverages, packaging, cleaning, and operational supplies.
Source and negotiate with suppliers to secure competitive prices, quality, payment terms, and reliable delivery.
Monitor stock levels, par levels, inventory movements, transfers, wastage, and stock counts.
Conduct regular inventory checks, investigate variances, and maintain proper stock control.
Coordinate with Operations, Kitchen, and Finance to align purchasing with business needs and budgets.
Monitor food cost, purchase costs, COGS, and inventory impact on overall P&L and profitability.
Ensure products meet approved quality and specification standards, while monitoring expiry dates and storage conditions.
Maintain accurate purchasing records, supplier information, quotations, POs, invoices, and pricing.
Build strong supplier relationships and continuously identify opportunities for better pricing, quality, and products.
Prepare purchasing reports, cost analyses, and recommendations to improve efficiency and profitability.




Requirements

Purchasing/procurement experience in F&B, preferably managing multiple outlets.
Strong knowledge of F&B products, suppliers, pricing, and market trends.
Good understanding of P&L, food cost, COGS, gross profit, and inventory valuation.
Strong knowledge of stock control and inventory procedures.
Experience with inventory/POS/accounting systems is an advantage.
Excellent negotiation and communication skills.
Strong attention to detail and ability to identify discrepancies and unnecessary costs.
