Filipino Document Controller cum Admin Assistant

Candidate is responsible for managing, organizing, controlling, and maintaining company documents and records while providing day-to-day administrative support to ensure smooth office and project operations.

Key Responsibilities
• Maintain an effective document control system for company and project documents.
• Receive, register, distribute, track, file and archive incoming and outgoing documents.
• Maintain document registers, logs, transmittals, correspondence records and filing systems.
• Ensure documents are properly numbered, titled, classified and stored according to company procedures.
• Control document revisions and ensure only the latest approved versions are available for use.
• Maintain both electronic and hard-copy records in an organized and confidential manner.
• Prepare and issue document transmittals to clients, consultants, contractors, suppliers, and internal departments.
• Follow up on documents requiring review, approval, signature, or response.
• Retrieve documents and records promptly when requested by management, auditors, or project teams.
• Maintain confidentiality and security of sensitive company and employee information.
• Support document archiving, disposal and handover activities.
• Assist in preparing letters, memos, reports, presentations, spreadsheets and other business correspondence.
• Manage emails, telephone calls, appointments, meetings, and general office correspondence.
• Schedule meetings and prepare meeting rooms, agendas, attendance sheets, and minutes when required.
• Maintain office supplies, stationery, equipment records and administrative inventories.
• Coordinate travel arrangements, accommodation, transportation and other administrative requirements when assigned.
• Assist with employee records, attendance, timesheets, leave documentation and other HR administrative activities.
• Coordinate with different departments to collect required documents and information.
• Support management with data entry, report preparation, scanning, photocopying, printing, and filing.
• Assist with purchase requests, invoices, delivery documents and other administrative records.
• Ensure compliance with company document-control procedures, quality requirements, and confidentiality policies.

Qualifications & Experience
Typically, the position requires a Diploma or Bachelor’s degree in Business Administration, Office Management, Information Management, or a related field, with previous experience in document control or administrative support preferred.
Required Skills
Strong knowledge of Microsoft Office (Word, Excel, PowerPoint and Outlook) is important. Experience with document management systems such as Aconex, SharePoint, EDMS, Procore, or similar platforms can be an advantage.
