Workshop Maintenance Secretary- Iqama Transferable- Immediate joiner

PURPOSE OF THE JOB:
● As part of a support team, provide a central point of contact for all workshop /
vehicle maintenance-related queries.
● To assist in the management of the fleet software system and the Fleet
Maintenance Centre.
● To assist the Workshop Manager in ensuring all legal compliance issues are
adhered to.
● To fully utilise the fleet software system to record all maintenance issues/job cards/
activities / problems.
● To assist audits for stock control; vehicle maintenance activity and legal
compliance on a regular basis.
● To monitor and develop administration systems for continuous improvement.
● To assist in the identification and provision of ad-hoc training.
MAIN AREAS OF RESPONSIBILITY:
The postholder will have lead responsibility and accountability for the following:-
● To actively consider new and innovative ways of doing things recognising and
promoting the positive benefit of change to improve services and achieve goals
● To provide a central point of contact for all council fleet users to respond to vehicle
maintenance queries.
● To provide administration support to the Fleet Maintenance Centre. To document
and maintain administration systems adhering at all times to “O” licence regulations.
● To support the ordering and receipt of vehicle parts, equipment and/or services for
vehicle maintenance.
● To maintain the maintenance records within the fleet software system.
● To be politically sensitive and work across directorates in an equitable manner and
to understand the corporate objectives.
● To provide functional and administrative support in the running of the Fleet
Maintenance Centre including processing of manual and electronic administration
systems..
● Operate, administer, maintain, and develop the fleet software system to provide a
central point for the entire council’s fleet maintenance records.
● Assist in the development, production and dissemination of periodic and statistical
reports, including cost budgets.
● Provide ad-hoc reports and other management information as required.
● As directed, help prepare and maintain local documentation and procedure notes
relating to the maintenance of the Councils operator licence.
● To attend relevant meetings as directed by the Workshop Manager. Maintain
effective communication with other members of staff within the Council.
● To assist in ensuring that the requirements of health and safety legislation,
Council's relevant policies are carried out in relation to the responsibilities of the job.
● Assist in purchase orders and invoicing
● Dealing with Drivers reporting defects
● Attend training, workshops and conferences when required
● Other ad hoc duties needed as directed by the Workshop Manager.
