We are seeking a professional, organized, and proactive Receptionist / Sales Coordinator to join our Interior Design & Fit-Out team in Riyadh. The ideal candidate will manage front office operations while supporting the pre-contract and estimation department in preparing proposals, coordinating tender submissions, maintaining documentation, and communicating with clients and suppliers.
The candidate should possess strong communication skills, excellent coordination abilities, and experience in administrative and pre-contract activities within the construction, interior design, or fit-out industry.
Key Responsibilities for the receptionist Area:
Greet and welcome clients, visitors, suppliers, and guests in a professional manner.
Manage incoming phone calls, emails, and correspondence efficiently.
Direct visitors and calls to the appropriate departments or personnel.
Maintain the reception area to ensure it remains clean, organized, and presentable at all times.
Handle incoming and outgoing couriers, deliveries, and mail distribution.
Schedule meetings, appointments, and conference room bookings.
Maintain visitor logs records when required.
Assist in preparing documents, reports, presentations, and filing systems.
Support project and site teams with basic administrative coordination.
Ensure confidentiality of company information and documents.
Perform other administrative duties assigned by management.
Key Responsibilities for Sales Coordinator Area:
Assist the sales and business development teams in preparing pre-qualification documents, technical proposals, and tender submissions.
Review tender documents and coordinate with internal teams to compile bid requirements and submission deliverables.
Prepare, organize, and submit technical documentation, presentations, and supporting materials in line with client and company requirements.
Ensure all tender submissions comply with company standards, client specifications, and submission deadlines.
Maintain and update tender logs, inquiry registers, submission schedules, status and follow-up reports.
Manage company registrations, vendor portal updates, and prequalification submissions with clients, consultants, and procurement platforms.
Maintain and regularly update company project records, including ongoing and completed project lists and related registers.
Maintain and update company records, including project lists, staff information, certifications, licenses, and company documents.
Coordinate with relevant departments to track and update changes related to staff, certifications, projects, tenders, and company documentation.
Qualifications & Requirements
Bachelor’s degree or Diploma in Business Administration or related field preferred.
This position is open to Saudi nationals only.
Minimum 2–3 years of experience as a receptionist / sales coordinator or Front Desk Administrator, preferably in Interior Design or Fit-Out industry.
Excellent verbal and written communication skills in English & Arabic language.
Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
Good interpersonal and customer service skills.
Familiarity with office administration procedures and document handling.
